How to set up a one time reminder

Send reminders to your clients regarding appointment scheduling, quarterly reminders, and more!

PLEASE NOTE: The Marketing Resource Center is part of the Gold, Platinum and Diamond plans only. The Marketing Resource Center is not included with the Silver plan.

1. Log into your account at https://portal.practicepanda.com

2. In the left menu of your Practice Panda account, expand "Marketing Resource Center" and click "Build & Schedule Message", or click "Marketing Resource Center" on your Practice Panda dashboard.

3. Click on "Build" under Reminders.

4. Choose a template style for your message by clicking on "Use this style" under the one you want.

6. Now, edit your reminder message using the options below:

  1. Enter the title of your message

  2. Type in a sub titled (optional)

  3. Enter your message greeting

  4. Enter the main body of your reminder message

  5. When finished, click "Save and continue"

After you click "Save and continue" in the previous step 6.5, you will go to the next page where you will choose sending options such as subject line, date, time, and lists to send to.

7. On the next page, you can write your own subject line (or keep the default) and then choose a date and time for the message to be automatically sent.

PLEASE NOTE: All scheduled times will use the Central Time Zone

a. Enter a subject for your reminder message

b. Select the date and time drop-down to open a calendar and time picker to select when this message should be sent.

c. If you want to send this to a client list, click the switch next to the list. (The list will turn green if selected / toggled properly)

d. To send to individual email addresses, enter the email address in the Recipient email address field.

e. If you want to add the individual you just entered from step f. to an existing client list, then click the drop-down and choose which list you want the address to be added to.

f. If you want to add additional email addresses, you can do this here, just repeat steps d and f.

8. Finally, you are ready to send your message. double check your message settings, and if you're ready click "Send message". Additional options included below:

a. If you need to make last minute changes to the message, click "Edit Message"

b. Select "Save as draft" to come back to the message later.

c. Click "Send message" to add your message to our system queue to go out on the specified date/time.

NOTE: Messages WILL NOT go out same day. There is a 24 hour waiting period. Make sure to plan your reminders accordingly. Our system does not allow last-minute messages.

Our system processed messages in the queue around 2 a.m. CST. the following day.

Can I preview a message before it's sent?

Yes! You can preview your reminder message in html format or in an email preview.

a. Click "Web page preview" at the top left of the configure reminder message page to view a html preview of your message (example below):

b. Click "Email Preview" to get a copy sent to your email addresses.
